How to add, edit or delete records from a SharePoint List

Body

SharePoint Lists provide a quick way to display and edit data. Lists consist of columns and rows, much like an Excel file. List columns may specify data types which enforce the values that can be entered into a column.

Creating New List Items

To add a single record to a List, click the New button from the toolbar. In the New item slide-out window, enter the values for each field. When finished, click the Save button.

Editing List Items

To edit a single record in a List, hover over the item and then click the checkbox to left of the first column. Then click the Edit button from the toolbar. 

Uploaded Image (Thumbnail)If you need to perform multiple edits on multiple records, click the Edit in grid view button on the toolbar.

Uploaded Image (Thumbnail)The List will open in an Excel-like grid and you can quickly type in new values, make edits, and jump between columns and rows using the arrow keys on your keyboard. Edits will be saved as you exit each field. When finished editing the list, click the Exit grid view button on the toolbar.

Deleting List Items

To delete a List item, hover over the record you wish to delete, click the checkbox to the left of the first column, and then click the Delete button on the toolbar. The record will be removed from the List and placed in the Recycle Bin.

Exporting Lists

SharePoint Lists can be exported as a CSV file, or as a data set for Power BI. To export a List, click the Export button on the toolbar, and then select the destination. Clicking Export to CSV will export a comma-delimited file to your Downloads folder on your computer. You can then open that file in Excel.

If you have a Power BI license, you can click the Export to Power BI link. This will open the List data in Power BI.
